The conference sessions will start the morning of Sunday, February 24 and runs through the morning of Tuesday, February 26. All conference sessions will conclude before the tradeshow opens at 11:00 a.m.

The tradeshow will be open to the public during the following times:

Tuesday, February 26 from 11:00 a.m. – 5:00 p.m.

Wednesday, February 27 from 9:30 a.m. – 3:00 p.m.

The answer to this question depends on how much of the conference you’d like to partake in, and how much time you need for your booth set-up and tear-down. You can check out the conference schedule here and below are the move-in and move-out hours:

Registration & Pass Types

Badge registration can be completed through the Exhibitor Portal.

The basic exhibitor package includes the following allotments;

  • (10) Exhibitor tradeshow badges for your booth staff.
  • PLUS (1) Conference Access Pass to be assigned to one of your booth staff.
  • PLUS unlimited complimentary tradeshow badges for your customers through the Invite-a-Customer program.

*Sponsors should refer to their agreement for badge allotment information.

If more than 10 staff badges are needed these may be purchased for $39 each through your Exhibitor Portal or by contacting our registration team at (800) 932.3632.

Yes. Anyone without an exhibitor badge will be denied access to the tradeshow during move-in and move-out hours.

When you sign into the Exhibitor Portal, and click into the ‘Badge Registration’ tile it will indicate how many badges you have used and how many remain in your complimentary allotment.

Each exhibiting company is allotted one (1) conference access pass that allows for entry into Catersource conference education. This pass must be assigned to one individual but may be shared with other members of your team. The pass is not a standalone badge so it MUST be used in conjunction with an exhibitor badge. If additional conference access passes are needed, they can be purchased at a special exhibitor rate of $495. Conference access passes are only intended for use by an exhibitor and may not be assigned to an attendee.

One exhibitor tradeshow badge should be assigned to each member of your staff who will be working in the booth. This badge allows access to the tradeshow floor during tradeshow days, and also during move-in and move-out hours. The exhibitor tradeshow badge also allows you access to the Welcome Reception on Sunday evening.

As an exhibitor or sponsor, you are invited to attend the Welcome Reception on Sunday at no cost. All you need for admittance is your exhibitor or sponsor badge. Tickets to any of the paid optional events are not included with the basic exhibitor package. You may purchase tickets to attend through the Exhibitor Portal, or by contacting our registration team at (800) 932.3632. Sponsors should refer to their agreement for ticket inclusion information.

The Invite-a-Customer program will allow you to invite an unlimited number of your customers and prospects to attend CS2019 with the offer of a free tradeshow badge, or $50 off any conference package using your custom promo code. Inviting your customers to attend for free is a great way to boost awareness about your company, increase your ROI from the show and help ensure that all your key customers and prospects visit you at Catersource 2019.

You must register for a badge through the Exhibitor Portal before a visa letter can be sent. When you have registered, email our registration team at [email protected] to request your Letter of Invitation (LOI). Upon request, processing may take up to 5 business days. Please note that it is the sole responsibility of the registrant to take care of any government visa requirements and allow sufficient time for the visa entry application process. Individuals should contact their nearest embassy or consulate to determine the appropriate timing and requirements related to their visa application. Any and all costs associated with applying for a visa are the sole responsibility of the attendee or exhibitor in need of the letter.

Catersource DOES NOT mail badges. Badges will be printed onsite upon providing your barcode confirmation and a government-issued photo ID (such as a driver’s license or passport). The registration desk will be located in the lobby of the Ernest N. Morial Convention Center outside of halls B & C, and will be open during the following hours:

Your Booth

The basic exhibitor package includes;

  • Black drape and an exhibitor identification sign (unless you are in an island space)
  • Company Profile published in the 2019 printed Event Guide, on the conference website and in the mobile app. (Input Company Profile data into the Exhibitor by January 7, 2019 for inclusion in the printed Event Guide).
  • Access to lounges
  • Access to the Welcome Reception

Your booth is a raw space. Things like carpet, furnishings, internet, electrical, water, etc. are not included. Orders for these items can be placed via Freeman Online. Place orders by January 21, 2019 for discount pricing.

  • January 7, 2019 is the deadline to input your company profile for inclusion in the printed Event Guide.
  • January 21, 2019 is the cutoff for FREEMAN’s advanced discount rates.

No. The Official Service Contractor, FREEMAN, is required to go through the local union hall to hire laborers for exhibitions. FREEMAN personnel are non-union.

Union jurisdictions prevail over the operations of all material handling equipment, all unloading and reloading, and handling of empty containers. FREEMAN has the responsibility to manage all docks, marshalling yards, and the scheduling of all vehicles to ensure a smooth and efficient move-in and move-out. Therefore, FREEMAN also has the responsibility of receiving and handling all exhibit materials and empty crates.

In the context of tradeshow operations, the acronym POV stands for Personally Operated Vehicle which defines any passenger vehicle that excludes box trucks and flat beds.

FREEMAN offers something called Cart Service where workers equipped with a flat cart will assist you with unloading your POV. Each cart will handle a load approximately 3' wide x 4' long x 3' high. Cart Service includes storage of cardboard/product boxes at no additional charge. Visit your Exhibitor Portal for more details on FREEMAN’s Cart Service.

You may move material that can be hand-carried by one person in one trip, without the use of dollies, hand trucks, or other mechanical equipment. Please be aware that stopping and parking in front of the hall is strictly prohibited. You must park in a designated parking space and walk from there.

10' X 10" display "pop-ups" may be set-up by an exhibitor if one person can accomplish the task in no more than 30 minutes (including crating and uncrating) and without the use of any tools or ladder. The union steward reserves the right to determine whether or not union labor is required to set-up the exhibitor's booth.

An Exhibitor Appointed Contractor (EAC) is any company other than one of the designated official contractors which an exhibitor wants to employ inside the exhibit hall before, during, or after the show. This includes all EAC display houses, display sales representatives, designers, florists, EAC labor, supervisors and any third party. An EAC should not be wearing an exhibitor badge. You must have your EAC approved by show management in advance so they can be added to the security list. To gain approval, submit the EAC Authorization Form to [email protected] no later than January 21, 2019.

No. Due to security and liability reasons, EAC’s must adhere to the published show and move-in/move-out hours.

No. Only FREEMAN labor or your approved Exhibitor Appointed Contractor (EAC) may perform this work.


Exhibitors are not permitted to photograph or video the exhibit or product of another exhibitor without prior approval. Exhibitors are prohibited from entering the exhibit space of another exhibitor without permission from that exhibitor, and at no time may anyone enter an exhibit space that is not staffed. Additionally, by registering for Catersource 2019 you are giving permission to be photographed and have your likeness used in marketing and promotional materials.

No one under the age of 18, including infants, is allowed access to the exhibits. No exceptions. Show management does not provide childcare services onsite. Use of a school issued ID is not acceptable unless it provides a date of birth.

Company profiles are updated through the Exhibitor Portal. The deadline to update information to be included in the printed Event Guide is January 7, 2019 If you have any questions or need assistance regarding your Company Profile, contact Angie Ridgeway at [email protected].

Your Customer Success contact, Angie will send emails on a regular basis from the time a company joins the show, until the show concludes. There are two important considerations when you are not receiving updates regarding the show; 1) Another individual may have been designated as the ‘logistics contact’ at the time of booking or 2) your email spam filters may be blocking our communications. If you need to change your company’s designated key contact, we must receive the request in writing. Please email the new contact’s name, title, direct phone number, mobile phone number and email address to [email protected]

Invoices are emailed to the billing contact on file within 2-7 business days of booking. Emails come from [email protected] and will look similar to this. If you need your invoice resent, please email [email protected]
