Location & Dates

A: The conference sessions will start the morning of Sunday, February 18th and run through the morning of Tuesday, February 20th. All conference sessions at Caesars will conclude before the tradeshow opens at 11:00AM

A: The tradeshow will be open to the public during the following times:
Tuesday, February 20th from 11:00AM – 5:00PM
Wednesday, February 21st from 9:30AM – 3:00PM

A: The answer to this question depends on how much of the conference you’d like to partake in, and how much time you need for your booth set-up and tear-down. You can check out the conference schedule here and below are the move-in and move-out hours:

Registration & Pass Types

A: The basic exhibitor package includes;

  • (10) Exhibitor tradeshow badges for your booth staff.
  • PLUS (1) Conference Access Pass that can be shared amongst your booth staff.
  • PLUS Unlimited complimentary tradeshow badges for your customers through the Invite-a-Customer program.

*Sponsors should refer to their agreement for badge allotment information.

A: Each exhibiting company is allotted one (1) conference access pass*. The pass is not a standalone badge, but rather like a ticket that can be used by any member of your booth staff in combination with their Exhibitor Badge for entry into Catersource conference education at Caesar’s palace. Only one person can use the pass at a time, but If additional conference access passes are needed, they can be purchased through the Exhibitor Portal at a special exhibitor rate of $595. Conference access passes must be used in conjunction with a tradeshow Exhibitor Badge. *Sponsors should refer to their agreement for conference access pass allotment information.

A: One exhibitor tradeshow badge should be assigned to each member of your staff who will be working in the booth. This badge allows access to the tradeshow floor during tradeshow days, and also during move-in and move-out hours. The exhibitor tradeshow badge also allows you access to the Wine'd Up Mix & Mingle at Caesar's on Sunday evening. 

A: As an exhibitor or sponsor, you are welcome to attend the Wine'd Up Mix & Mingle on Sunday. All you need for admittance is your exhibitor badge. Tickets to any of the paid optional events are not included with the basic exhibitor package*. You may purchase tickets to attend through the Exhibitor Portal or by contacting our registration team at (800) 932.3632. *Sponsors should refer to their agreement for ticket inclusion information.

A: The Invite-A-Customer program will allow you to invite an unlimited number of your customers and prospects to attend CS2018 with the offer of a free tradeshow badge, or $50 off a full conference package using your custom promo code. Inviting your customers to attend for free is a great way to boost awareness about your company, increase your ROI from the show and help ensure that all your key customers and prospects visit you at Catersource 2018. To get started, simply visit your Invite-a-Customer dashboard from your Exhibitor Portal.

Your Booth

A: The basic exhibitor package includes;

  • Black drape and an exhibitor identification sign
  • Directory listings in the 2018 printed Show Guide, on the conference website and in the mobile app. (Input directory listing data into the Exhibitor by January 12th, 2018 for inclusion in the printed Show Guide).
  • Access to lounges
  • Access to the Welcome Reception
  • Opportunities for pre-show promotions and advertising exclusively reserved for exhibitors.

Your booth is a raw space. Things like carpet, internet, electrical, water, furnishings etc. are not included. Orders can be placed via Freeman Online. Place orders by January 29th, 2018 for discount pricing.

  • November 30th is the deadline to purchase ad space in the annual Show Issue of Catersource magazine.
  • January 5th is the deadline to purchase ad space in the official CS2018 Show Guide.
  • January 12th  is the deadline to submit your free directory listing for inclusion in the printed Show Guide.
  • January 25th is the deadline to purchase ad space in our special show editions of the On The Market eblast.
  • January 29th  is the cutoff for FREEMAN’s advanced discount rates.
  • January 29tis the cutoff for special room rates at our host hotel, Caesar’s Palace.
  • January 29tis the cutoff for advance discount pricing on lead retrieval packages through CompuSystems.

A: No. The Official Service Contractor, FREEMAN, is required to go through the local union hall to hire laborers for exhibitions.  FREEMAN personnel are non-union. 

A: Union jurisdictions prevail over the operations of all material handling equipment, all unloading and reloading, and handling of empty containers.  FREEMAN has the responsibility to manage all docks, marshalling yards, and the scheduling of all vehicles to ensure a smooth and efficient move-in and move-out.  Therefore, FREEMAN also has the responsibility of receiving and handling all exhibit materials and empty crates.

A: FREEMAN offers something called Cart Service where workers equipped with a flat cart will assist you with unloading your POV.  Each cart will handle a load approximately 3' wide x 4' long x 3' high. Cart Service includes storage of cardboard/product boxes at no additional charge. Per FREEMAN, this service is available at a rate of $59.00 per trip, or a round trip rate of $118.00.  Click here for more details on FREEMAN’s Cart Service. 

A: You may move material that can be hand-carried by one person in one trip, without the use of dollies, hand trucks, or other mechanical equipment. Please be aware that stopping and parking in front of the hall is strictly prohibited. You must park in one of the designated lots and walk from there. Here is a map of parking around the LVCC. 

A: 10' X 10" display "pop-ups" may be set-up by an exhibitor if one person can accomplish the task in no more than 30 minutes (including crating and uncrating) and without the use of any tools or ladder. The union steward reserves the right to determine whether or not union labor is required to set-up the exhibitor's booth.

A: An Exhibitor Appointed Contractor (EAC) is any company other than one of the designated official contractors which an exhibitor wants to employ inside the exhibit hall before, during, or after the show. This includes all EAC display houses, display sales representatives, designers, florists, EAC labor, supervisors and any third party. An EAC should not be wearing an exhibitor badge. You must have your EAC approved by show management in advance so they can be added to the security list. To gain approval, submit the EAC Authorization Form to [email protected] no later than January 21st, 2018

A: No. These vendors would be considered EAC’s and will not be allowed into the hall without prior approval from show management. Please To gain approval, submit the EAC Authorization Form to [email protected] no later than January 21st, 2018.

A: No. Due to security and liability reasons, everyone must adhere to the published show and move-in/move-out hours.

A: No. Only FREEMAN labor or your approved Exhibitor Appointed Contractor (EAC) may perform this work.

A: Catersource is a niche show with unique set of needs. This poses a problem for us finding the perfect venue. Hotel conference centers do not have enough space to accommodate our tradeshow, and convention centers do not have adequate space to accommodate our conference. 

A: During times when the tradeshow is open to the public, Catersource will provide bussing on a continuous loop between the LVCC and Caesars. On move-in and move-out days; taxi, Uber, Lyft and the monorail are all good options for arranging your own transportation.
